Why pet records get chased at the worst possible moment
A simple look at why vaccination records, medications and care notes turn into last-minute admin, and how a reusable pet passport changes the booking experience.

Pet records get chased at the last minute because they live in four places at once. The vaccination certificate is in an email thread. The medication dose is in a note on someone's phone. The feeding instructions were written for the last stay and have changed since. The emergency contact is known by the family but not by the venue.
So a simple booking turns into a chase, usually the day before drop-off.
When does the chasing start?
Close to arrival, which is the worst time. A pet is booked in, the date is coming up, and the boarding kennel, daycare, groomer or trainer still needs to know whether the animal is ready to stay.
That means checking the same things again:
- current vaccination evidence
- medications and dosage notes
- allergies or conditions
- feeding instructions
- behavioural notes
- vet and emergency contact details
None of this is unusual; it is normal care information. It has no reusable home, so it gets rebuilt for every booking.
Why do owners keep re-entering the same details?
Because each venue keeps its own copy. Your kennel has a form, your groomer has a different one, and daycare wants a third. Each one feels small, but across boarding, daycare, grooming, training and vet visits, the same details get typed out again and again.
If you want to see what each venue usually asks for, we have checklists for boarding kennels, dog daycare and groomers.
What changes with a reusable pet passport?
The records live with the owner instead of with each venue. With Tend Pass, you add your pet's records once, keep the original certificates attached, and share them with a venue by link or QR code when a booking needs them.
If the venue uses Tend Connect, the details drop into the booking and the vaccination check runs before you arrive.
Next time you book, you send a link instead of rebuilding the file.
